ProjectTRACKER Help - Main Menu

ProjectTRACKER is a HTML based Software project management tool supporting standard project planning and time / effort documentation techniques successfully used since more then 20 years of SW development. ProjectTRACKER also supports the Agile Scrum development methodology consisting of user stories and story point estimation techniques and with this allows to close the gaps between Agile and Plan-driven concepts. ProjectTRACKER in addition incorporates heuristic project scheduling and statistical estimation functions based on Lean Six Sigma methodologies “translated” into the Software development domain. ProjectTRACKER is implemented in PHP and uses MySQL as database, and with this can be installed on wide variety of operating system platforms.

Before you start working with the ProjectTRACKER get in contact with your administrator to get a ProjectTRACKER account and the HTML link to start the ProjectTRACKER. When you first call the ProjectTRACKER you will see only the login page. Login with your user name and password. When you use the ProjectTRACKER for the first time please check also the ProjectTRACKER Hints & Tricks. Its also good to know how the ProjectTRACKER Access Rights model works.

For ProjectTRACKER licencing and installation on your server please read the ProjectTRACKER Admin Guideline.

It is also highly recommended to get used to the ProjectTRACKER Naming Conventions to easily find your way through complex program and organisational structures.

When you successfully have logged in you see a menu bar like this:

Here an overview on all functions from the ProjectTRACKER main menu:


Login - Login to ProjectTRACKER.

When clicking the Remember me check box the ProjectTRACKER remembers your login consecutively for 7 days - so you can access the ProjectTRACKER without further logins.


  • The user is stored in a browser cookie, so be careful using this feature on computers which are shared by several persons!
  • After three unsuccessful logins the corresponding user is deactivated1).


Logout - Logout from ProjectTRACKER.


Efforts - Time, effort documentation / tracking.


Plan - Project planning / team allocation. Only users with “Plan” access rights can see this menu and use this functionality.


View Reports and Configure ProjectTRACKER reports. Predefined ProjectTracker reports are described in Standard Reports. Only users with “Reporting” access rights can create, configure or modify reports.


Auto - Project planning support functions like Auto Task Allocation, Copy Task Allocation and Import Tasks from MS Project2) or CSV text files. Only users with “Planning”, and “Create” access rights can see and use this functionality.


Setup - Setup default parameters and look and feel of ProjectTRACKER.


Maint - ProjectTRACKER maintenance function. Only accessible by users with ProjectTRACKER administration rights.


Absence - Team and location holiday planning.


Profiles - ProjectTRACKER setup for locations, countries and cost groups. Only accessible by users with ProjectTRACKER administration rights.


Users - Administration of ProjectTRACKER users for users with administration or team leader roles. Other users can only see their access rights and change their password.


Programs - Administration of ProjectTRACKER programs. Only users with admin, team or project leader role can see and use this functionality.


View - Selection of programs to be viewed - makes life easier as only the selected programs and associated tasks are shown in the selection lists. A tool tip with the program description is shown when moving the mouse cursor over the ID field.

Note: If you cannot see / find certain programs or tasks its a good start to check your view settings if the associated program is set to Visible!


Tasks - Administration of ProjectTRACKER tasks. Only users with admin, team or project leader role can see and use this functionality.

Scrum - NEW in Version 2.0!

Scrum - Administration of ProjectTRACKER epics, user stories and tasks. Only users with admin, team or project leader role and “Scrum” rights can see and use this functionality.


Estimates - Administration of best case, probable and worst case planning statistics. Only users with “Estimation” rights can see and use this functionality.


Schedule - Advanced planning and schedule heuristics. Only users with “Schedule” rights can see and use this functionality.

Other Menu Functions

<User Name> On the top, left corner you see the current logged in user in in the form <User Name>.
The ProjectTRACKER has no real a undo function - but stores important data deleted by the user. In case you accidentally deleted a record you can restore it by searching the record in the Restore page and press Restore. If you are not sure which record to restore, contact the ProjectTRACKER admin to help you. ProjectTRACKER administrators can also Delete the restore information - then this information is lost forever!
A link to open either the ProjectTRACKER Wiki or the ProjectTRACKER help file / manual. If this function is available depends on your local ProjectTRACKER installation. The Wiki pages are context sensitive - means the corresponding help content associated to the current ProjectTRACKER page is opened.
Clicking on switches the report in-line mode off, clicking switches it on. Inline report see e.g. Plan Inline Report.

Manual Notation Hints

In the manual different typefaces are used. The following table describes these typefaces and when they are used.

bold typeThe information in bold sans-serif type refers to a label name or list choice on the page. For example, click OK refers to the OK button on the dialog box.
UPPERCASEKeys that you press on the keyboard are displayed in this font. For example, press RETURN refers to the return key on the keyboard.
ItalicsCalculations or values used in the tracker are displayed in italic. For example, Plan Allocation = Effort planned / Total Capacity.
ItalicsBold italic is used in this manual for important notes or hints.
{Place}A placeholder for a value to be filled in.
The PHP admin can observe the user logging via the file .\tracker-data\tracker-log.xml on the web server
