ProjectTRACKER Help - Auto

The auto page provides task allocation support functions and also utilities to import data from MSProject1), OpenProj2) or Comma Separated Value (CSV) files, e.g. from spreadsheet programs.

Note: Move Task Efforts is not yet implemented.

Auto Task Allocation

The auto task allocation function allows the quick Plan allocation of resources to a certain task.

Note: Only ProjectTRACKER admins, project leaders and team leaders with “Planning” and “Create” access rights can see and use this functionality.

Auto Task Allocation Settings

Task Task to allocate resources to.
Resource Resource or team leader members the task should be allocated to.
Year Initial year with the average allocation percentages from Plan.
New Alloc Value to replace the initial allocation percentages from Plan.
Clear existing allocations Overwrites / reuses resource allocations from Plan. When not set new allocations will be created - this might lead to double entries then.
Overwrite with new allocation Allocation percentages from Plan are overwritten with the New Alloc value. This might be useful to quickly set e.g. all allocations to 100%.
Store allocation The allocation percentages from Plan are overtaken to the updated and newly created allocation records - if not set the allocation percentages are empty.
Holidays Define the allocation availability based on the resource holidays - see Net Capacity calculations in Schedule.
Excl. Don't consider holidays.
Incl. Include user and location holidays as planned in Absence.
Profile Use holiday profiles as defined in the site holiday Profiles.
Include team The allocation is done for all team members of the chosen user. This works only when the user has an associated team and allows a team leader to quickly assign plan efforts to several team members allocated for this task.
Use Engineering Efficiency Use the Engineer Efficiency from Users to calculate the allocation availability.
Allocate only current year The allocation is done only for the current Year. Allocations in other years are not changed.
Allocate Execute the auto task allocation function. Note: There is no undo function here - so carefully check what you want to do!

Copy Task Allocation

The copy task allocation function allows to copy Plan allocation percentages and also efforts as an option.

Note: Only ProjectTRACKER admins, project leaders and team leaders with “Planning”, “Create” and “Site” access rights can see and use this functionality.

Copy Task Allocation Settings

Source Task Source task to copy allocation from.
Dest. Task Destination task to copy allocation to.
New Year If set, the new value for the Dest. Task allocation year.
New Alloc Value for the allocation percentages of Dest. Task in case Overwrite with new allocation is set.
Clear existing allocations Overwrites / reuses allocations from Plan. When not set, new allocations will be created - this might lead to double entries then.
Overwrite with new allocation Allocation percentages from Plan are overwritten with the New Alloc value. This might be useful to quickly set e.g. all allocations to 100%.
Copy content The allocation percentages and the efforts from Plan are overtaken or updated into the Dest. Task.
Copy Execute the copy task allocation function. Note: There is no undo function here - so carefully check what you want to do!

Import Tasks from MSProject / OpenProj

This utility allows to import tasks and resource allocations from Microsoft Project3). The MSProject file must be saved in XML format. The MSProject resource name Initials must match the Name field from Users.

Note:

  • Only ProjectTRACKER admins, project leaders and team leaders with “Planning”, “Create” and “Site” access rights can see and use this functionality.
  • The import works also with the MS Project 2003 XML export format of OpenProj4), but you have to use the OpenProj Import link to enable the correct import from OpenProj - see below explanations.
  • Known Issue: OpenProj seems to calculate the work effort, but does not store it in the XML Work field.

Import Tasks from MSProject Settings

Program Program the imported tasks will be associated to in case Use program selection is set.
Import File File selection for MSProject XML file.
OpenProj Import Select link in case you import from OpenProj.
Group Initial group name for Autogroup function.
Use program selection If set, the imported tasks will be allocated to the selected Program.
Note: If the Use program selection is not set, the ProjectTRACKER program name must be defined in the MSProject properties field Subject or as project Title for OpenProj.
Add as new program Creates a new program in case a program with the same name is already defined. The new name is {Existing Name_N} with N set to a number generating a new unique name.
Add as new task Creates a new task in case a task with the same name is already defined. The new name is {Existing Name_N} with N set to a number generating a new unique name.
Autogroup When set, all task groups will automatically assigned a group name which starts with Group and a leveling which is defined via the MSProject task hierarchy.
When Autogroup is not set, the task group name can be defined in the MSProject task via a user defined “Text” attribute with the alias “TaskGroup” or in the “Text1” field of OpenProj.
Test Mode When clicking on ON, tasks are not imported to the ProjectTRACKER, but the data to be imported is shown in a debug window5).
Import Import the data. Note: There is no undo function here - so carefully check what you want to do or check the import data via the Test Mode!

Import Tasks from CSV List

This utility allows to import tasks and resource allocations from a Comma Seperated Value (CSV) file.

Note: Only ProjectTRACKER admins, project leaders and team leaders with “Planning”, “Create” and “Site” access rights can see and use this functionality.

Import Tasks from CSV List Settings

Program Program the imported tasks will be associated to in case Use program selection is set.
Import File File selection for CSV file.
CSV Paras Defines parameter sequence and association to task fields in the CSV file. The sequence string must have the form: {S}{Q}{H}_{D}_{0 .. 12}6) …, e.g. ,”2 d.m.y 0 1 2 3 4 5 6 7 8 9 11 10.
S CSV separator character, e.g. ','.
Q CSV quote character, e.g. '”'.
H No of headlines until the CSV data rows starts. This allows to skip header and info lines in the CSV file.
D Date Format of the CSV date fields as defined by the regular expression [dDmMyYtT.- ]* with D/d: year, M/m: month, Y/y: year, T/t: Unix time, e.g. 'd.m.y' accepts dates in the format 14.02.2010.
0 Task Group.
1 Task Prio.
2 Task Name. Note: This is a mandatory field!
3 Task Start Date - see Tasks.
4 Task End Date - see Tasks.
5 Effort Best Case - see Estimates.
6 Effort Planned - see Tasks.
7 Effort Worst Case - see Estimates.
8 Program Name. Note: This is a mandatory field in case Use program selection is not set!
9 Task resource allocation in the form {User Name7)({Percent}%)}_{User Name({Percent}%)}_ … ({Percent}%) is optional and when omitted a 100% allocation is assumed.
10 Task Dependencies in the form {Group Name8)}_{Group Name}_ … - similar to Predecessor in Schedule.
11 Task Description. Note: Descriptions can span over several lines in the CSV file.
12 Dummy, could be used to ignore CSV parameter columns.
